Please complete the following steps to get ready for your first appointment.

*If you have not signed up as a member yet, please contact the clinic (call or text at 830-222-6296) to discuss enrollment. The links below are intended only for actively enrolled members!

STEP 1: Are you signed up through Hint?

If you need to review or make any changes to your membership, get access to your Hint Self-Service Portal HERE (this link can also be found at the bottom of the Still Point DPC website homepage). You will receive an email containing a link to log in.

The Hint self-service portal allows you to:

  • add/remove people from your membership
  • view your membership details
  • pay and manage invoices
  • adjust payment sources
  • view and sign agreements
  • update contact information

STEP 2: Connect with the clinic on the SPRUCE APP (OPTIONAL)

Spruce is the app that we use to send messages in a HIPAA-compliant manner. We use it to send secure text messages, photos, and PDF files. It is also the preferred tool we use for video visits. It is recommended to download the Spruce app to your smartphone, but it can also be used through a web browser on your computer after you link it to a cell phone number.

Your Spruce account is tied to your cell phone number. Please set up your Spruce accunt using your own name and phone number. If you have members on your plan who will not be managing their own Spruce account (young children or members who are unable to navigate the technology for any reason) then ask Dr. Rob to start a separate conversation thread for each of those members. That will help us keep conversations organized.

STEP 3: Request a medical records transfer before your first appointment

If you have not already signed a records release form at the clinic, please download the pre-filled records release PDF file here. This PDF file has Still Point DPC listed as the records recipient and requests all records from the delivering clinic from the most recent 2 years they have on file. If you prefer, you can download a blank version of the PDF here. You will need to:

  • fill in your name and date of birth at the top of the form
  • fill in the name and contact information for the clinic or doctor holding your records
  • sign the second-to-last line at the bottom

Please return a signed copy to us for each clinic holding your records in any of the following ways:

  • send as an attached file through Spruce (preferred method)
  • mail to Still Point Direct Primary Care, 1067 FM 306 Ste 106, New Braunfels TX 78130
  • fax to 830-410-4752
  • send by e-mail to DrRob@stillpointdpc.com.

As a reminder, email is not a secure way to send sensitive information.

* You can ask the facility where your records are located to fax them to us at (830)-410-4752, although they usually still require some kind of signed consent to transfer records. Typically, we’ll just want your last 2 years of treatment records.

STEP 4: Medicare private contract [only for PATIENTS WITH Medicare]

If you are signed up to receive Medicare benefits (i.e. you are a Medicare beneficiary), please download a Medicare Private Contract here, and then return an initialed and signed copy to the clinic. Medicare regulations require us to have signed copies of this contract on file for every member patient who is receiving Medicare benefits, and the contract must be signed again every year. If you start receiving Medicare benefits in the future, then please submit a signed copy of this form once you receive your Medicare card.

STEP 5: Select who we can talk to about your health

Please download the patient release of information authorization form HERE and fill out a copy for each patient. Parents should sign for any patients under the age of 18. This form allows us to discuss your protected health information with anyone you list on the form (spouse, significant other, family member, or other trusted individuals). Without this form, we cannot discuss a patient’s medical information with anyone other than the patient or their legally authorized representative (parent, legal guardian, etc.).

STEP 6: Book AN appointment

Please remember that Calendly is not an encrypted system, so do not put sensitive information into it.

Selecting an appointment type:

– Use 30 minute appointments to discuss lab results, any simple new concerns such as rashes, cold/flu symptoms, and to follow up previously discussed topics such as medication adjustments.

– Use 60 minute appointments to discuss new concerns that may involve more complexity, such as questions about weight loss, hormones, chronic pain, and first-time discussions of topics from your medical history, or things that may have been bothering you for a longer period of time. This will allow us time to have a more complete conversation. 

– Virtual visits (phone or video) are a good option when all we need to do is discuss the concern. If the concern requires any in-person physical exam, please select the in-clinic appointment type. Physical exam information is very helpful in situations like earaches, possible sinus infection, serious respiratory illnesses, chronic cough, abdominal pain, and joint pain or injury. These should all be scheduled as an in-person visit.

– Annual physical / well visit appointments can be done during a 60-minute appointment in which we will focus on preventive medicine topics including cancer screenings and routine labs, as well as discussing lifestyle factors that have an impact on your health.

STEP 7: Patient Portal

We have completed the move over to a new electronic medical record (EMR) system, called Elation. This EMR allows you to set up a patient portal (called Elation Patient Passport), in which you can view your clinical information and visit summaries. Please contact Dr. Rob to request an invitation to Elation Patient Passport. This invitation will go to the email address we have on file for you.

(OPTIONAL) Nutritional supplements

Dr. Rob has set up discounts for his patients’ supplement purchases through Fullscript. If you are interested in purchasing high-quality supplements from trusted suppliers using this discount, consider browsing the Fullscript catalog. In some cases, prices may be better through a large retailer like Amazon or Walmart, so be sure to compare before you make a purchase.
